
Most of the European and Latin American school suppliers who email us are not asking about sheet protectors in isolation. They are usually building a bundle: ring binders, lever arch files, and a stack of sheet protectors to go with them. The binder is the more expensive item, so it gets the most attention. The sheet protector gets ordered on price, ships in, and then their customer service inbox lights up three weeks later. That is the moment this guide is for.
Below is what we have learned in 22 years of manufacturing PVC, PP and PP/PVC film products at our factory in Linyi. Sheet protectors are a small line for us compared to lever arch files and ring binders, but we make them in the same factory under the same QC system, so the lessons overlap. Everything here is based on what we actually see on the line, not on a generic sourcing checklist pulled off a trade portal.
A sheet protector that fits a standard ring binder is a single open-side or open-top clear plastic pocket, sized to hold one A4 (or A5, or letter) sheet of paper, with a row of holes or universal punching that lines up with the binder rings. That is the basic version. Beyond the basics, the actual product you order depends on six decisions:
For most B2B school supply buyers we work with, the default order is: A4 size, PP material, 50 micron, top-loading, universal 4-hole punching, with a thin reinforced edge. That covers 80% of school and office use cases. The other 20% is the reason we keep offering the other options.
Sheet protectors are sold to fit a paper size, but they also need to fit the binder mechanism. A4 paper is 210 x 297 mm. A sheet protector that fits A4 paper is usually 220 x 305 mm or 220 x 310 mm — slightly oversized so the paper slides in and out without catching. Most factories in China make 220 x 305 mm. Some make 220 x 310 mm.
The second part is the punching alignment. The four holes need to line up with the binder rings so the page turns cleanly. Universal 4-hole punching is 80 mm centre-to-centre between the inner holes, and 80 mm centre-to-centre between the outer holes. If your binder rings are spaced differently (some 2-ring binders, some 3-ring US, some 4-ring European), the sheet protector will look right at first glance and then jam on the rings. This is the number-one quality complaint we get from buyers who switch suppliers to save cost.
Before you order, send your factory a sample of the binder you are pairing with. We punch against the actual binder in our QC check, not against a printed spec sheet.

For school supply bundles, most of our European buyers end up on PP 50 micron. It is the right balance of cost, clarity, and durability for the price point. For presentation products and government archive work, PVC still wins on the premium feel and the way it holds a printed logo on the reinforcement strip.
If you specifically need PVC, ask the factory to confirm the REACH declaration covers the plasticiser type they are using. Some lower-cost PVC films still use DEHP or DBP plasticisers that fail the REACH SVHC list. We only use REACH-compliant PVC film, and we attach the declaration with every shipment document.
The micron number is the thickness of the film. As a rough rule of thumb:
For a school supply bundle, 50 micron is the standard. The price gap between 30 and 50 is usually 25-40%, and the durability gain is large. The gap between 50 and 70 is another 30-50%, with diminishing returns for most users. We will not push you toward 70 unless you have a specific reason.

The number-one defect we catch is hole position drift after the punching die warms up during a long production run. The line operator checks every 5,000 pieces, but the QC team re-checks the random sample independently. We have had to scrap entire production runs in the past because the drift exceeded 1 mm tolerance. It is cheaper to scrap than to ship a defective batch and have it come back.

You can mix the bundle in one container, but the packing is different for each product. Sheet protectors are usually packed in inner poly bags of 100 pieces, then 10 inner bags per master carton (typical order volumes per carton). Lever arch files are 20-30 pieces per master carton. The mixed container takes more careful planning on the pallet layout to avoid crushing.
The sheet protector itself is a plastic film, not a paper product, so FSC certification does not apply to the film. If your buyer requires FSC-labelled packaging, we can apply the FSC mark on the outer carton and on the inner poly bag at no extra cost, as long as the paperboard and paper components in the rest of the bundle are FSC-certified (which is our standard supply for the binder and file products).
For the film, we use REACH-compliant PVC and REACH-compliant PP. The REACH declaration is included in the shipment documents on request. We do not currently hold ISO 9001 or BSCI certifications; if your RFQ requires one of those, please tell us upfront so we can discuss the timeline.
With those seven data points we return a price within 24 hours and a production schedule within three working days.

PVC wins on premium presentation look and on the way it holds a printed logo on the reinforcement strip. If you specifically need PVC, confirm the factory uses REACH-compliant film with safe plasticisers.
For most school and office use, 50 micron is the standard. 30 micron is the cheapest but tears easily at the holes. 70 micron is stiffer and better for archival. 100 micron is almost rigid and used for menu covers and signage. The price gap between 30 and 50 micron is 25-40%, and the durability gain is significant.
For plain sheet protectors, our MOQ is industry-typical volume minimums per size and thickness combination. For printed protectors (logo on the reinforcement strip or corner), MOQ rises to industry-typical volume minimums due to the printing plate setup. For custom size or custom punching, MOQ is industry-typical volume minimums due to the cutting die and punching tool change.
Plan for 15-20 days ex-factory for a plain order. Add 5-7 days for custom printed or custom size. Sea freight to a European port adds another 25-35 days from Qingdao or Shanghai, or 12-15 days by rail to Duisburg or Hamburg. A 40-foot HQ container holds 1.2-1.5 million pieces depending on the carton configuration.
